Three steps to fill your PMP application

Aashish Bhargava

Active Member
Hello,

I'm pursuing for PMP Certification. I start filling my application on PMI website, after completing the application, I have downloaded the application from PMI website and sent to Simplilearn for Evaluation.

I got good feedback on how to put PM experience in application. I have updated my application and submitted on PMI Website on 18th Oct.

Today (24th Oct) at 12:02 AM, i received a mail for continuing the PMP application process and to submit payment. I have completed the payment and Bingo !!!. I received mail from PMI that application is accepted and I'm eligible to take the certification examination.

No Audit.. So No more efforts on application side.

In mail, They have sent PMI eligibility ID (which need to be filled while scheduling exam) along with Exam scheduling instructions which contains the link for scheduling exam (link to Prometric website). I took the Exam date i.e. last week of Nov.

Keeping my finger crossed. Hope all will go good...

Thanks Simplilearn team.

Dear Venkat,

Please mention both the organisation which you belonged to.. But why do you mention it as service.. You need to capture Project experience not the service experience...!?

1. In the part1 section, fill your details like name, contact details, address, name that you would like on your certificate and your highest education details

2. In the part 2 section, fill the project title, the role, title(designation), your organization names where your implemented project management, address of the organization, contact person name and his/her details, etc...

The important thing under this section is the project description. It takes only 550 characters. So be crisp in describing on what you contributed for a project and mention the details of your contribution.

Here is an example:

· Objective: Application development which can run on Android platform.

· IN: Identified the stakeholders, collected the high level scope and identified high level risk

· PL: Developed the project management plan along with stakeholders by estimating schedule, cost

· EX: Completed the deliverables as per the plan and manage the communication and stakeholder engagement

· M&C: Review and track the progress of the project. Also identified the new risk and perform change management process for the change requests through CCB

· CL: Handing over the deliverables, lessons learned documentation

· Deliverables: Application with installation manual

· Outcome of the project: Success

3. In the Part 3 section, mention the title of the course, Institution name, start date, end date, number of pdu's earned.

Suresh, good day -

You need the certificate in order to apply to PMI for authorization to take the exam (the application doesn't accept 'post-dated' training).

The only time limit for the exam is a 1-year window upon acceptance for sitting for the test.

Other than that, you determine when you are ready to take the test, and schedule through the Prometric website.

Hi,

I have been raising the application for the PMP exam and I have some doubts. I have 2 gaps in my career of the 7.5 years of total work experience that I have. One is of 2 years when I opted for my full time MBA and second was when I took 2 months off to visit home while switching from one company to other. The entire remaing 7.5 years experience is in Project Management.

Is there a requirement for a candidate need to have a continuous experience without any gaps? Also, can my projects overlap while submitting the application?

Please suggest.

Overlapping of the projects are allowed. But overlapping of the hours/time spent for the projects are not allowed. For example Project1 starts from Jan and end of March which is 3 months. Project2 starts from Feb and end on April which is also 3 months. You can't count 3+3=6 months. You should count only 4 months which is from Jan to April.

I have a question here and looking forward your assistance

I have done two similar projects in last 3.5 years in my present organization ( However project sponsor and project titles are different but project role is same). Do I need to specify both the project's details separately or I can provide only one detail adding all the working hours as a single project.

Thanks in advance

If they are different projects (unique, specific start & end, specific deliverable), you'll document them as separate projects.

Question Tim - i have a project experience that spanned 26 months but consisted of multiple (100+) deployments all following the same plan in that period. i had my PMP certified coworker review my application and his concern in entering that as one project is that the distributed hours; I = 180, P= 540, etc..
should i break this up by year or am i ok to enter it as one project?

Grin. It depends. Is it a single project? Is it itself unique, and with a definite start and end?

I host meetings where one of the attendees has projects that influence a product that will last 10,000 years. Some of their projects have outlived 3 business units, and the culture of the team is richer and deeper entrenched then the supporting organizations.

If your project has a definite start and end, and is unique, you have one. If it is easier to conceive it as a program with many similar projects, than do that. Either one will work.

I must have done around 40 odd projects ranging from 12 days to 50 days in a span of 3 years.. Could you kindly explain that while filling out the application form online in the space PROJECT TITLE can I simply put a generic title for these ? Also can I show the FROM TO as 3 years ?

You'll need to submit each project separately. It is painful, but required - remember, a project is just as we learned: a group of work bound by time, and unique. Simply grouping work in that manner doesn't demonstrate your understanding of the definition of a project.

I had the same problem; I was a consultant for a couple years, and it took a lot of time - capturing initiating work for projects never approved, planning work for contracts never signed. It was painful, but demonstrates your experience.

We have received your queries and have forwarded to our trainer.
Kindly allow us 24- 48 hrs while we revert with an update.

  • You need a minimum of 3 years (36 months) of unique, non-overlapping professional project management experience.?Kindly inform me my total work experience is 9 years out of which specifically for PM it is 2 years but wrking hours and proejcts easily qualify the requirements. Kindly guide me in the same.

Hi, Mohit - the 3 years, 4500 represent time you spent on projects - leading and directing them. If your experience goes back a ways, PMI likes to see that - they recommend 3-8 years of this type of work.

I recommend you document your time starting current, working back until you have the accumulated hours/months ('just enough').

Good luck, keep us posted -

Dear Vinutha,
As you have mentioned above project description with spilt out in different process groups, is it mandatory to describe like that way? The description or terminology is used as common to all projects. do we need to mention something very specific to the project in each process groups?
Appreciate your kind response,

Hi Vinod,

If you have worked in all the 5 process groups of projects, its recommended to provide description of all process groups. The description or terminologies may differ for different project based on your roles and tasks. I recommend you to review the Exam Content. This will provide a general description and level of detail that is preferred. Here is the link and go through tasks under it

I have worked on multiple releases of the same product and each release is a project. Should I mention all the projects separately or one project as a whole? And do I need to mention the product name as well or just the overview in each process group?

Malaya, what is it that you did on the project. What were you assigned to do? If it makes sense that you were the Scrum Master, and you performed the role of Project Manager, then by all means do that.

For multiple releases of a project, if each release was unique, then each release was a project. For instance, consider 'unique' as any add, change, modification.

Hi, Puneet - recommendation is to provide "just enough" information - 4500 hours. Recommendation is to start with most current work, and work backwards until you have met the requirement.

tim jerome

The hours will be as close as you can estimate. PMI will look at items such as the number of hours in each process group based by your description; something that's out of context here will trigger questions.

Also consider an estimate that is reasonable based on your reference's acceptance; if you are audited, they'll be standing for you as well. It needs to be something they're comfortable with also. Be truthful, but also have something that doesn't break the work down to the quarter or half hour.

In these type of questions, keep in mind the code of ethics and your commitment to it -

Hi Tim, some project can be complex or with a lot of activities, but only 550 characters not words are allowed to fill in, how can we describe as brief as this? Or does PMI only want to know high level tasks not the breakdowns?

Look to this file - it's called the Exam Content Outline for the PMP Exam (link here). This is what PMI expects from both level of detail and from general leading and directing work.

Other threads in this community have great examples; look for the threads on top and you'll find them.

Hi
The process group overlapping is allowed? For a project, planning and executing go parallel ? In reality that has happened

tim jerome

Well-Known Member
Trainer
The process groups exist outside the project lifecycle, and interact in ways even not documented in the PMBOK. Initiating work influences planning work. Planning supports executing work, and executing work collects the data that monitoring and controlling will drive change - in both planning and controlling. It's also Monitoring and Controlling that allows work to stop so you can transition the deliverable in closing process group.

In the words of the PMBOK, the interactions documented are summary, and the processes can interact in ways not documented as well. The hint is - the processes and process groups exist outside the project life cycle, and are able to apply their controls throughout.

The hours you worked performing leading & directing tasks all count; the overlapping months, only count once.

For instance, if you have two projects:

A - 110 hours, 6 months
B - 120 hours, 8 months

And if they overlap by 2 hours, the hours = 230 hrs, and months equal 12 months. It works out. PMI expects you to have overlapping projects, but does not expect you to be multi-tasking to the point that you are in two places at once.

Hi,
1) For some projects I was involved only in Execution and Motioning, Controlling. Initiation, Planning was done by some other PM. So is this acceptable in application?

2) Can I download the half filled application form?

That's acceptable - PMI expects this to occur. However, PMI does expect you had some experience in all process groups across your entire history.

You can save your exam as a PDF as you're building the the application - not only at its end.

Hi Tim, I'm currently taking your Sun-Thur (4.30-7.30 PT) class. I've completed my PMI application and would really like to have it reviewed to check for any issues before submitting. Is it possible for me to send your way for a quick review?
